# Card Activity & Customers

> See every transaction on a card and everyone who holds it, from the card's Activity and Customers tabs.

Open a card from [Passes](https://vexioncards.mintlify.site/knowledge-base/passes-page.md) to see its performance. At the top are four figures: **Installed Cards** (passes currently in wallets), **Total Customers** (everyone enrolled), **Transactions**, and **Conversion Rate**. A gift card shows money figures instead, see [Gift cards](#gift-cards). Below them are the tabs.

## Activity

The **Activity** tab is the card's **Transaction History**: every transaction recorded on the card, newest first.

![The card's Activity tab: the Transaction History table with the period buttons, the search box, the Filter and Columns buttons, and the columns Customer, Date, Event, Reward, Amount, Source, and Location.](https://mintcdn.com/vexioncards/gUntQRmbA6fi5lZq/images/card-activity.png?fit=max\&auto=format\&n=gUntQRmbA6fi5lZq\&q=85\&s=c22babe178300e837c09d36c1e350671)

The Activity tab

### The table

Each row is one transaction. The columns are:

| Column | What it shows |
| - | - |
| **Customer** | The customer the transaction belongs to. Click the name to open their [profile](https://vexioncards.mintlify.site/knowledge-base/customer-profile.md). |
| **Date** | When it happened. Click the header to sort newest first or oldest first. |
| **Event** | One plain label that says what happened, for example **Stamps earned** or **Gift card sold**. |
| **Reward** | What the customer got or used, for example **+3 stamps**, **+12 points**, or **Discount 10%**. |
| **Amount** | The bill total, when the transaction has one. |
| **Source** | Where the transaction came from. See [Source](#source). |
| **Location** | Which store it belongs to. This column appears only when you have more than one location. |

An empty cell shows a small dot. If nothing matches, the table shows "No results.".

Date is the only column you can sort.

### Event

The **Event** column shows a plain label, never raw system text. The words depend on the card type:

| Card type | Event labels |
| - | - |
| **Stamp card** | **Stamps earned**, **Stamps redeemed** |
| **Stamp card paid in advance** | **Card topped up**, **Stamps used** |
| **Points card** | **Points earned**, **Points redeemed**, **Points converted** |
| **Cashback card** | **Cashback earned**, **Cashback redeemed** |
| **Discount card** | **Discount applied**, **Tier changed** |
| **Employee card** | **Employee discount applied** |
| **Coupon card** | **Coupon redeemed** |
| **Membership card** | **Membership activated**, **Entry used**, **Membership renewed**, **Membership expired** |
| **Gift card** | **Gift card sold**, **Gift card topped up**, **Gift card redeemed**, **Gift card locked**, **Gift card refilled**, **Gift card issued by merchant** |

Some labels fit every card type, for example **Purchase**, **Balance adjusted**, **Balance carried over**, **Card updated**, **Order returned**, **Order cancelled**, **Referral bonus**, **Welcome bonus (referral)**, and **Sign-up bonus**.

When a transaction is reversed, two things change:

* The reversal appears as its own row. Its label starts with **Reversed ·**, for example **Reversed · Stamps earned**.
* The original row gets a **Reversed** badge. Hover over it to see the date.

### Source

The **Source** column is a plain chip. It shows the channel only:

| Chip | What it means |
| - | - |
| **POS** | A transaction from the till. |
| **E-shop** | An order from your online store (Shopify or Sellio). |
| **Online** | A gift card paid online with VEXiON, through your Stripe account. The detail panel shows **Online · Stripe**. |
| **Booking** | A booking system (Bookio or BooqMe). |
| **Manual** | Entered by hand with the [Scanner](https://vexioncards.mintlify.site/knowledge-base/using-the-scanner.md) or the dashboard. |
| **System** | An automatic operation, such as a bonus or an import. |

The chip has no hover card. To see the system behind it, click the row and read the **Where** section of the [detail panel](#transaction-details).

### Find what you need

Above the table you have these controls:

* **Period**: **30 Days**, **90 Days**, **365 Days**, or **Select dates** for your own range. With no choice made, the table shows all history.
* **Search by name**: finds a customer by name. Type at least two characters.
* **Filter**: narrows the rows by **Event** and **Source**.
* **Columns**: shows or hides columns.

On a phone, the controls sit above a list of cards instead of a table. See [On a phone](#on-a-phone).

#### Filter

Click **Filter** to open the menu. It has two groups. Tick one or more options in each group. The number of ticked options shows on the button. Click **Clear** to remove all ticks.

![The Filter menu open over the Transaction History table, with the group Event (option Earned) and the group Source (options POS and Manual), and a Clear button at the bottom.](https://mintcdn.com/vexioncards/gUntQRmbA6fi5lZq/images/card-activity-filter.png?fit=max\&auto=format\&n=gUntQRmbA6fi5lZq\&q=85\&s=f91bf85e6c7c1055aa857f447e9299d3)

The Filter menu

The **Event** options depend on the card type:

| Card type | Event options |
| - | - |
| Stamp, points, and cashback cards | **Earned**, **Redeemed**, **Reversed** |
| Stamp card paid in advance | **Topped up**, **Used**, **Reversed** |
| Discount, coupon, and membership cards | **Reversed** only |
| Gift card | **Sale**, **Top-up**, **Redemption**, **Locked**, **Refill**, **Issued by merchant**, **Reversal** |

The **Source** options are **POS**, **E-shop**, **Online**, **Manual**, and **System**. Booking transactions count as **System** in the filter, although their chip says **Booking**.

The menu offers only what really happened on this card in the period and the locations you selected. For example, a card with no reversals shows no **Reversed** option. A group with only one possible choice is hidden. If no group is left, the **Filter** button is hidden too. An option you ticked always stays in the menu, so you can untick it. A gift card always offers all seven **Event** options.

#### Columns

Click **Columns** to show or hide **Event**, **Reward**, **Amount**, **Source**, and **Location**. **Customer** and **Date** always stay. The choice is saved for this table, for you, on this device.

![The Columns menu open at the top right of the table, listing Event, Reward, Amount, Source, and Location, each with a check mark.](https://mintcdn.com/vexioncards/0jACyA5OEpncqN_1/images/table-columns.png?fit=max\&auto=format\&n=0jACyA5OEpncqN_1\&q=85\&s=b1e0fadee427d36580e684b0390f1d07)

The Columns menu

The **Columns** button is on desktop only. A phone always shows the card list.

Below a long table you find **Rows per page** (10, 25, 50, or 100) and the page buttons.

### Transaction details

Click any row to open the detail panel on the right. On a phone it opens from the bottom.

![The transaction detail panel for a POS transaction: the event and reward at the top, the position 4 / 25 with arrows, then the sections Customer, Where, Money, and Order, and the buttons Open customer and Close.](https://mintcdn.com/vexioncards/0jACyA5OEpncqN_1/images/transaction-drawer.png?fit=max\&auto=format\&n=0jACyA5OEpncqN_1\&q=85\&s=b1fd64ddb957a53946486dc87dcb4bcb)

The transaction detail panel

The top shows the reward, the event, and the date. The arrows step to the previous and next transaction. The counter shows your place, for example **4 / 25**. The **Up** and **Down** arrow keys do the same.

The body has sections. A section appears only when it has something to show:

| Section | What it shows |
| - | - |
| **Customer** | The customer's name, the card, and the balance after this transaction. |
| **Where** | The source with the system, for example **POS · Dotykačka**, and the location. A till can also show the branch and the cashier. |
| **Products** | The items on the receipt and their total, when the till sends them. |
| **Money** | The bill total, what the customer saved, the spend that counted, and the tier when earned. |
| **Gift card** | On a gift card sale: the order, the buyer, the payment, the delivery, the amount, and the bonus. See [Gift card details](#gift-card-details). |
| **Order** | The order number. |

Two buttons sit at the bottom:

* **Open customer** opens the customer's [profile](https://vexioncards.mintlify.site/knowledge-base/customer-profile.md). On a gift card, this is the card holder.
* **Close** closes the panel.

A reversal shows a red **Reversal** badge. A reversed original shows a **Reversed** badge.

### On a phone

On a phone, each transaction is a card. It shows the customer's name (or the event, on a customer profile), the reward and the time, the amount, and the **Source** chip. Tap a card to open the detail panel. Scroll down and tap **Load more** to see older transactions.

> [!TIP]
>
> To export the transactions, open the card's **"..." menu** (top right) and choose **Export transactions**. The same menu has **Export customers**, **Refresh data**, **Duplicate**, and **Delete**. Only an admin sees the export items. The transactions export uses the period shown on the tab you are on. The customers export always covers all customers. There is a daily limit on exports.

> [!NOTE]
>
> If you have more than one location, the sidebar location selector scopes the Activity history to the selected store(s), and a blue chip by the title shows the active scope. You may also see a note that some records have no assigned location (older transactions not tied to a store). See [Filtering by Location & Time](https://vexioncards.mintlify.site/knowledge-base/filtering-by-location.md).

## Gift cards

A gift card holds money, so its card page shows money figures and money rows.

### Figures at the top

A gift card shows four money figures instead of **Installed Cards**, **Total Customers**, **Transactions**, and **Conversion Rate**:

| Figure | What it shows |
| - | - |
| **Sold** | The money you received for new gift cards and kept. Top-ups and bonuses are not in it. A sale with a chargeback is taken out, and so is any amount you refunded in your Stripe Dashboard. |
| **Redeemed** | The gift card money customers spent. A spend that was reversed does not count. |
| **Outstanding balance** | The money still on your customers' cards today, which they can still spend. Expired cards are not in it. |
| **Redemption rate** | **Redeemed** as a share of all value loaded onto the card: sales, bonuses, top-ups, cards you issued by hand, and employee refills. |

**Sold**, **Redeemed**, and **Redemption rate** follow the period you pick on the Activity tab and the location selector in the sidebar. With no period, they cover all history. **Outstanding balance** is always today's figure for the whole card, in every location. The [Analytics tab](https://vexioncards.mintlify.site/knowledge-base/analytics-gift.md#sold-vs-redeemed) shows the same money month by month.

### What each event means

Every gift card sale has a row, on every channel: online, at a connected till, with the Scanner, and when a printed card is activated.

| Event | What happened |
| - | - |
| **Gift card sold** | A new gift card was paid for. |
| **Gift card topped up** | Money was added to an existing gift card. A top-up is not a new sale. |
| **Gift card redeemed** | The customer paid with the card. |
| **Gift card locked** | The balance was locked after a dispute or a refund in your Stripe Dashboard. See [Disputes and refunds](https://vexioncards.mintlify.site/knowledge-base/stripe-connect.md#disputes-and-refunds). |
| **Gift card refilled** | An older employee credit card got its monthly credit. |
| **Gift card issued by merchant** | You created the card by hand in the dashboard, see [Adding a customer](https://vexioncards.mintlify.site/knowledge-base/adding-a-customer.md). This is not a sale. No money was received. |

A reversal names what it undoes, for example **Reversed · Gift card sold**. When the original is not known, the label is just **Reversed**.

The **Reward** column shows the change of the balance in money: a plus amount on a sale or a top-up, a minus amount on a spend or a lock. A bonus added at the till is included. The **Amount** column stays empty on a sale, a spend, a lock, a card issued by merchant, and a refill, because they are not a bill. A card issued by merchant and a refill also have no money section in the detail panel, because no money was received.

The **Source** shows where it happened: **Online** for a sale paid online, **POS** for a connected till, **E-shop** for a spend in your Shopify store, **Manual** for the Scanner or the dashboard, and **System** for a lock or a monthly employee refill.

### Gift card details

When a row belongs to a gift card sale, the [detail panel](#transaction-details) adds a **Gift card** section:

| Field | What it shows |
| - | - |
| **Order** | The order number. |
| **Type** | **Gift** or **For myself**. |
| **For** | The name of the person the card is for. |
| **Buyer** | The name of the person who paid. |
| **Payment** | **Paid**, **Awaiting payment**, **Refunded**, or **Blocked after dispute**. |
| **Delivery** | **Pending**, **Processing**, **Delivered**, or **Failed**. |
| **Amount** | What the buyer paid. |
| **Bonus** | The extra value on top, when there is one. |
| **Balance** | **Locked**, when the whole balance is locked. After a partial refund in Stripe, a **Partly locked** line shows the locked amount, and the balance reads **The rest can still be used**. |
| **Voucher** | **Download PDF** opens the voucher. |

**Type**, **For**, **Buyer**, **Delivery**, and **Voucher** appear only when the sale is paid. The section never shows email addresses. The separate **Order** section is hidden on these rows, because the order number is already here.

Any other row of a fully locked card shows **Status: Locked**.

The **Where** section says who or what did it:

| Field | What it shows |
| - | - |
| **Created by** | The person who created the card by hand in the dashboard. |
| **Sold by** | The cashier, for a sale at the till. An online sale reads **Online (buyer)**. |
| **Topped up by** | The person, or the POS name. |
| **Redeemed by** | The person, or the POS name. |
| **Reason** | For a lock: **Bank dispute (chargeback)** or **Refund in Stripe**. For an automatic employee refill: **Automatic refill**. |

A reversal done by a till or online reads **Performed by**. Rows recorded before this change may not name anyone.

**Open customer** opens the card holder, the person the card is for. When the card was a gift, the buyer is not a customer in your list, so there is nothing to open for them.

## Customers

The **Customers** tab lists everyone who holds this card, one row each.

![The card's Customers tab: a Search by name box and a Columns button above a table of everyone holding the card, with the columns Name, Visits, Device, Status, and Joined.](https://mintcdn.com/vexioncards/gUntQRmbA6fi5lZq/images/card-customers.png?fit=max\&auto=format\&n=gUntQRmbA6fi5lZq\&q=85\&s=15bf700ce5d77c0537ecedce714b497b)

The Customers tab

| Column | What it shows |
| - | - |
| **Name** | The customer's name and email. |
| **Visits** | How many times they have used the card. |
| **Device** | Which wallet the pass is in: **Apple**, **Google**, or **PWA**. |
| **Status** | **Installed** or **Not installed**. It says whether the pass is in their wallet. |
| **Joined** | When they signed up. Hover over it for the exact date and time. |

Use **Search by name** to find a customer. Use **Columns** to hide **Visits**, **Device**, **Status**, or **Joined**. **Name** always stays. Click a row to open the customer's [profile](https://vexioncards.mintlify.site/knowledge-base/customer-profile.md).

This list has no sorting and no filter. It shows the newest customers first. To export it, use **Export customers** in the card's **"..." menu**.

On a phone, each customer is a card, and **Load more** shows the next page.

> [!NOTE]
>
> For deeper numbers (completion rates, points, cashback, gift-card value, and more), use the **Analytics** tab. Those panels differ by card type, so they are documented in [Card Analytics](https://vexioncards.mintlify.site/knowledge-base/card-analytics.md).
