# AI assistants (MCP)

> Connect Claude, ChatGPT or another AI assistant to your VEXiON business, choose what it may do, and remove it at any time.

You can let an AI assistant work with your VEXiON business. You connect it once, then ask in plain words: "How many new customers did we get this month?" or "Create a stamp card for the new cafe."

This works through **MCP** (Model Context Protocol), an open standard that AI assistants use to talk to other software. VEXiON runs the server for you. There is nothing to install.

The **Developer** tab under [Settings](https://vexioncards.mintlify.site/knowledge-base/settings-overview.md) has three parts: [API keys](https://vexioncards.mintlify.site/knowledge-base/developer-api-keys.md), [Webhooks](https://vexioncards.mintlify.site/knowledge-base/developer-webhooks.md) and **AI assistants** (this page). This tab shows the assistants connected to the business you have open in the dashboard.

## What you can ask

Describe what you want in plain words. You do not need to name a tool. What the assistant can do depends on the [access level](#the-three-access-levels) you chose.

| You ask | What happens | Access |
| - | - | - |
| "How many new customers did we get this month?" | Counts the sign-ups and how many added the card to their wallet. | Read only |
| "Find the customer with email [anna@example.com](mailto:anna@example.com) and tell me how many stamps she has." | Looks up the customer and reads the card balance and recent visits. | Read only |
| "How many visits did we have last week at the Main Street location, compared with the week before?" | Builds a report for both weeks and compares them. | Read only |
| "Which cards do we have, and how many people hold each one?" | Lists your cards with how many were issued. | Read only |
| "Anna just bought a coffee. Add one stamp to her card." | Records the visit for her. | Read and write |
| "Create a stamp card for my cafe: 8 stamps, free coffee on the ninth." | Drafts the card, shows you the design and creates it. | Read and write |
| "Send everyone with the coffee card: Double stamps this Friday!" | Shows you a preview with the text and the audience. It sends only after you confirm. | Read and write |

Name the card, location or dates when you can. "Visits at the Old Town location last week" gives a more exact answer than "recent visits".

If the assistant is connected to several businesses, name the business too: "Visits at Brew Haven last week". With several businesses, each answer starts with the business name.

Messages to customers are never sent on the first request. See [Messages to customers need your confirmation](https://vexioncards.mintlify.site/knowledge-base/developer-ai-assistants-safety.md#messages-to-customers-need-your-confirmation).

## Which assistants work

Any AI assistant that can add a remote MCP server works. These are documented step by step in the [connection guide](https://vexioncards.mintlify.site/ai/mcp-server.md#connect-an-assistant):

* Claude (web and desktop) and Claude Code
* ChatGPT
* Gemini CLI
* Cursor
* VS Code

Your AI app must support the **Streamable HTTP** type of MCP server. Apps that only support the older SSE type cannot connect.

The address you add in your AI app is always the same:

```text theme={null}
https://api.vexioncards.one/mcp
```

> [!NOTE]
>
> Menus in AI apps change often. If a label in your app differs from the guide, look for the place where you add a **custom connector** or **custom MCP server** and use the address above. In ChatGPT, whether you can use it depends on your ChatGPT plan and workspace settings. VEXiON does not control that.

## Who can connect

You can connect an assistant when all of these are true:

* You are an **admin** of the business. Managers and scanner users cannot connect one.
* The business is on **VEXiON PRO**. The connect page shows "Needs the PRO plan" for a business that is not.
* The business is active. A business that is paused, locked, cancelled or not active yet is shown on the connect page with the reason, and you cannot pick it.

These rules apply to each business. If you are an admin of several qualifying businesses, one connection can cover all of them, up to 50 at a time. Each business has its own access level. A business that does not qualify stays greyed out and the others still work.

## Connect an assistant

**1. Add VEXiON in your AI app**

In your AI app, add a custom connector or custom MCP server with the address `https://api.vexioncards.one/mcp`. In Claude this is **Customize → Connectors → + Add → Add custom connector**. Steps for each app are in the [connection guide](https://vexioncards.mintlify.site/ai/mcp-server.md#connect-an-assistant).

**2. Sign in to VEXiON**

Click **Connect** in your AI app. A VEXiON page opens in your browser. Sign in with your normal VEXiON account. The assistant never sees your password.

**3. Go through the three steps**

The VEXiON page has three steps. They are described below.

**4. Ask a first question**

Back in your AI app, ask: "Give me an overview of my VEXiON account." It should answer with your business name, plan, locations and cards.

### The three steps on the VEXiON page

**1. Choose businesses**

Tick the businesses the assistant may use. It will see only these businesses. Click **Select all** to tick every business. The counter **Businesses you can connect: N** shows how many qualify. A business that is already connected to this app is ticked and shows a **Connected** badge. A business that cannot connect is greyed out with the reason. You can choose up to 50. Click **Continue (N)**.

**2. Choose access**

Pick one of the three levels (see below). **Read only** is marked **Recommended**. The level applies to all the businesses you chose: "For all N chosen businesses. You can change one business on the next step." Click **Continue**.

**3. Review and authorize**

You see the app name, each business with its access, the list of what the app will be able to do, and the website you will be sent back to. With several businesses the list is titled **In these businesses it will be able to, at most**. Click **Authorize** to connect, or **Deny** to stop. Nothing is connected until you click **Authorize**.

### Change one business before you authorize

On the review step, each business has two buttons. Nothing is saved until you click **Authorize**.

* **Edit** (pencil): opens **Access for** that business. Only this business changes. The others keep their access. Pick a level and click **Save**. **Back** also returns you to the review.
* **Remove** (X): takes the business off the list.

Click **Add another business** to go back to the first step.

### Connect an app again

Connecting an app again **replaces** its list of businesses. The businesses it already has are ticked from the start and show **Connected**. A business you untick or remove is left out when you click **Authorize**, and the app loses access to it. A business that is no longer available, for example because you lost the admin role or it left VEXiON PRO, is greyed out and is left out too.

If the businesses you tick have different access today, step 2 shows no level. Click **Review** and each connected business keeps its own access, and a new business gets **Read only**. Pick a level instead to use it for all of them.

### When the new list starts

Nothing changes until you click **Authorize**. After that, the new list starts with the first request of the AI app. The app must make that request within 10 minutes, otherwise the authorization expires. Until then:

* the app keeps its old access
* a higher access waits
* a lower access applies at once
* a business you removed becomes read only
* a business you added has no access yet

> [!WARNING]
>
> Only authorize apps you trust. VEXiON does not check what an AI app does with your data after you authorize it. The review step reminds you of this. After you connect, keep tool approval turned on in your AI app for actions that send or change data.

## The three access levels

| Level | The assistant can | The assistant cannot |
| - | - | - |
| **Read only** (recommended) | Look at your data: cards, customers, transactions, products, locations, sent notifications and reports | Change anything or message customers |
| **Read and write** | Everything in Read only, and also create and change data and send messages to customers | Anything in [the list of things it can never do](https://vexioncards.mintlify.site/knowledge-base/developer-ai-assistants-safety.md#what-it-can-never-do) |
| **Customize** | Only what you allow, area by area | Anything you leave on **None** |

With **Customize** you choose **None**, **Read** or **Write** for each area: Cards, Customers, Transactions, Products and Locations. For Notifications you choose **None**, **Read** or **Send messages**. You must allow at least one area.

Sending messages to customers needs **Write** access to Customers. VEXiON switches that on for you when you choose **Send messages**.

Whatever you choose, the assistant can always see your business name, plan and custom field definitions.

> [!TIP]
>
> Start with **Read only**. Most questions, such as reports and look-ups, need nothing more. Raise the level later with [Change access](#change-access).

When you allow writing, the review step also tells you this: writing updates customers' wallet passes and can start your business's own automatic messages, for example when a customer reaches a reward.

## See your connected apps

Go to **Settings → Developer** and open the **AI assistants** tab. The tab shows the apps connected to the business you have open in the dashboard. To see the apps of another business, open that business first. Each connected app shows:

* the app name and its access level (**Read only**, **Read and write** or **Custom**)
* a status: **Active**, or **Waiting for first use** if you authorized it but it has not made a call yet
* who connected it ("Connected by ...")
* when it was last used, or **Not used yet**

If no app is connected, the tab says so and reminds you to add the VEXiON server to your AI app.

> [!NOTE]
>
> The **AI assistants** tab is visible only to admins, and only for a business on VEXiON PRO. On VEXiON cards ONE the Developer tab offers you the upgrade instead.

## Change access

You can change the access of an app without connecting it again. The change affects only the business you have open.

**1. Open AI assistants**

Go to **Settings → Developer → AI assistants**.

**2. Click Change access**

Find the app and click **Change access**. The button is on rows with the status **Active**. The dialog **Change access for** the app opens.

**3. Pick a level**

Choose **Read only**, **Read and write** or **Customize**. See [the three access levels](#the-three-access-levels).

**4. Click Save**

Only this business changes. It applies from the app's next request.

What the AI app sees:

* The app is not told about the change. It learns it on its next request.
* A lower level applies at once.
* A tool the app did not have before shows up when the app starts a new chat (in Claude and ChatGPT).

> [!NOTE]
>
> Only the person who connected the app can give it more access. Any other admin of the business can only lower it. They see the note "Only the person who connected this app can give it more access. You can lower it." and get that message if they try to raise it. To give the app more access, ask the person who connected it.

## Remove an app

**1. Open AI assistants**

Go to **Settings → Developer → AI assistants**.

**2. Click Revoke**

Find the app and click **Revoke**, then confirm. The app loses access to this business right away. Other businesses connected to it keep their access.

If this was the last business of the app, the app is disconnected completely.

An app that shows **Waiting for first use** has a **Decline** button instead. Use it if you do not want that app to connect.

You can connect the same app again later. You then choose the businesses and the access level once more.

Access also ends on its own, within about 60 seconds, when you stop being an admin, when the business leaves VEXiON PRO, or when the business is paused, locked or cancelled.
