What you can ask
Describe what you want in plain words. You do not need to name a tool. What the assistant can do depends on the access level you chose.
Name the card, location or dates when you can. “Visits at the Old Town location last week” gives a more exact answer than “recent visits”.
If the assistant is connected to several businesses, name the business too: “Visits at Brew Haven last week”. With several businesses, each answer starts with the business name.
Messages to customers are never sent on the first request. See Messages to customers need your confirmation.
Which assistants work
Any AI assistant that can add a remote MCP server works. These are documented step by step in the connection guide:- Claude (web and desktop) and Claude Code
- ChatGPT
- Gemini CLI
- Cursor
- VS Code
Menus in AI apps change often. If a label in your app differs from the guide, look for the place where you add a custom connector or custom MCP server and use the address above. In ChatGPT, whether you can use it depends on your ChatGPT plan and workspace settings. VEXiON does not control that.
Who can connect
You can connect an assistant when all of these are true:- You are an admin of the business. Managers and scanner users cannot connect one.
- The business is on VEXiON PRO. The connect page shows “Needs the PRO plan” for a business that is not.
- The business is active. A business that is paused, locked, cancelled or not active yet is shown on the connect page with the reason, and you cannot pick it.
Connect an assistant
1
Add VEXiON in your AI app
In your AI app, add a custom connector or custom MCP server with the address
https://api.vexioncards.one/mcp. In Claude this is Customize → Connectors → + Add → Add custom connector. Steps for each app are in the connection guide.2
Sign in to VEXiON
Click Connect in your AI app. A VEXiON page opens in your browser. Sign in with your normal VEXiON account. The assistant never sees your password.
3
Go through the three steps
The VEXiON page has three steps. They are described below.
4
Ask a first question
Back in your AI app, ask: “Give me an overview of my VEXiON account.” It should answer with your business name, plan, locations and cards.
The three steps on the VEXiON page
1
Choose businesses
Tick the businesses the assistant may use. It will see only these businesses. Click Select all to tick every business. The counter Businesses you can connect: N shows how many qualify. A business that is already connected to this app is ticked and shows a Connected badge. A business that cannot connect is greyed out with the reason. You can choose up to 50. Click Continue (N).
2
Choose access
Pick one of the three levels (see below). Read only is marked Recommended. The level applies to all the businesses you chose: “For all N chosen businesses. You can change one business on the next step.” Click Continue.
3
Review and authorize
You see the app name, each business with its access, the list of what the app will be able to do, and the website you will be sent back to. With several businesses the list is titled In these businesses it will be able to, at most. Click Authorize to connect, or Deny to stop. Nothing is connected until you click Authorize.
Change one business before you authorize
On the review step, each business has two buttons. Nothing is saved until you click Authorize.- Edit (pencil): opens Access for that business. Only this business changes. The others keep their access. Pick a level and click Save. Back also returns you to the review.
- Remove (X): takes the business off the list.
Connect an app again
Connecting an app again replaces its list of businesses. The businesses it already has are ticked from the start and show Connected. A business you untick or remove is left out when you click Authorize, and the app loses access to it. A business that is no longer available, for example because you lost the admin role or it left VEXiON PRO, is greyed out and is left out too. If the businesses you tick have different access today, step 2 shows no level. Click Review and each connected business keeps its own access, and a new business gets Read only. Pick a level instead to use it for all of them. When the new list starts
Nothing changes until you click Authorize. After that, the new list starts with the first request of the AI app. The app must make that request within 10 minutes, otherwise the authorization expires. Until then:- the app keeps its old access
- a higher access waits
- a lower access applies at once
- a business you removed becomes read only
- a business you added has no access yet
The three access levels
With Customize you choose None, Read or Write for each area: Cards, Customers, Transactions, Products and Locations. For Notifications you choose None, Read or Send messages. You must allow at least one area.
Sending messages to customers needs Write access to Customers. VEXiON switches that on for you when you choose Send messages.
Whatever you choose, the assistant can always see your business name, plan and custom field definitions.
When you allow writing, the review step also tells you this: writing updates customers’ wallet passes and can start your business’s own automatic messages, for example when a customer reaches a reward.
See your connected apps
Go to Settings → Developer and open the AI assistants tab. The tab shows the apps connected to the business you have open in the dashboard. To see the apps of another business, open that business first. Each connected app shows:- the app name and its access level (Read only, Read and write or Custom)
- a status: Active, or Waiting for first use if you authorized it but it has not made a call yet
- who connected it (“Connected by …”)
- when it was last used, or Not used yet
The AI assistants tab is visible only to admins, and only for a business on VEXiON PRO. On VEXiON cards ONE the Developer tab offers you the upgrade instead.
Change access
You can change the access of an app without connecting it again. The change affects only the business you have open.1
Open AI assistants
Go to Settings → Developer → AI assistants.
2
Click Change access
Find the app and click Change access. The button is on rows with the status Active. The dialog Change access for the app opens.
3
Pick a level
Choose Read only, Read and write or Customize. See the three access levels.
4
Click Save
Only this business changes. It applies from the app’s next request.
- The app is not told about the change. It learns it on its next request.
- A lower level applies at once.
- A tool the app did not have before shows up when the app starts a new chat (in Claude and ChatGPT).
Only the person who connected the app can give it more access. Any other admin of the business can only lower it. They see the note “Only the person who connected this app can give it more access. You can lower it.” and get that message if they try to raise it. To give the app more access, ask the person who connected it.
Remove an app
1
Open AI assistants
Go to Settings → Developer → AI assistants.
2
Click Revoke
Find the app and click Revoke, then confirm. The app loses access to this business right away. Other businesses connected to it keep their access.
