This is the day-to-day guide for staff using VEXiON cards at the Storyous till. Every operation takes a few seconds.

The basic workflow

The card is scanned at the end of the sale, not at the start. Tapping Pay all opens the Complete payment dialog, and the loyalty control lives in there.
Where the control is. In Complete payment, the button is labelled Scan or type code and sits under the heading Discount:, between No discount and the currency. That heading is Storyous’s own wording; the same button handles VEXiON loyalty cards, so use it for stamps, points, discount cards and gift cards alike.
The whole thing takes about 5 to 10 seconds.
The Storyous Complete payment dialog showing the bill total, the No discount and Scan or type code buttons under the Discount heading, the currency, guest count, print options, and the Cash and Card buttons.

Finding a customer

By QR code. The customer opens their card in Apple or Google Wallet and shows the QR. Tap Scan or type code, scan the QR, and wait 1 to 3 seconds. By typing the code. The same button opens a text field with the on-screen keyboard. Type the customer’s code and confirm with the keyboard’s enter key. This is the fallback when a screen is cracked, too dim to scan, or the scanner is broken, and it is also how a handheld barcode scanner works: the scanner types the code and sends enter for you.
The Complete payment dialog with the Scan or type code button turned into a text field holding a customer code, with the on-screen keyboard open.

Typing a customer code instead of scanning it

Once the code is accepted, the Discount: heading changes to Benefits: and a tile appears with the customer’s name, their status and how many benefits were applied. Underneath it, the till lists what each card did. Tap Click for more details to open the full Customer benefits dialog, where each benefit has a toggle and cashback and gift cards get an amount field. What is written on each line comes from VEXiON, so the wording below is what staff actually read.
The Complete payment dialog with a benefits tile naming the customer and showing one benefit applied, above lines for the current stamps, the stamp earned and the new balance.

The payment dialog after a one-card customer is scanned

The tile reads “1 benefit applied” for a customer who has one card. A customer with more than one card can see several benefits. What follows underneath depends on which card it is, stamp lines, a point balance, or a tier and discount row.

Registering a new customer

If the customer has no card yet, they can register at the till. This is the first step, without it they cannot use the program. You have a registration QR code on-site, available two ways: The customer scans it, fills a short form (name, email, and any extra fields), the card is added to their wallet, and they can use it for the current payment.
Registration takes about 30 seconds. Wait for the customer to finish, then scan their card.

Turning benefits on and off

Every benefit in the Customer benefits dialog has a toggle. This is how staff handle a customer who does not want to use a reward right now.

Stamp cards

Collecting (not enough for a reward yet). The line reads:
Earning 2 stamps - Current stamps: 6
and the detail underneath shows: Confirm and take payment, the stamps are added automatically.
Storyous appends the customer’s current balance after the title, which is why the heading ends in : 6. Only basket items with Loyalty enabled and an Earn Stamps value above zero count, which is what “2 out of 3 products” means.
Redeeming (enough stamps). VEXiON offers the eligible products on its own, the one that costs your business least first. If the stamps cover several items, it offers them one after another, each with its own toggle, until the stamps run out:
Worked example (a 10-stamp “Coffee free” reward)Because they redeemed, they do not also earn stamps for this purchase.
On stamp cards, one redemption covers one item. A line of two of the same product is discounted once, not twice. To give a customer two free items, ring them up as two separate lines.

The Complete payment dialog with the original price struck through and a total of 0 Kc, with lines reading Current stamps 10, Redeeming 10 stamps and New balance 0/10, then a tier row reading Tier Gold, Discount 0 percent, Spent 890.30 CZK.

Reward cards

Credit Cashback

The line is headed Credit - enter the number of points, with a field to enter how many points to use. The cashier types points. The lines show euros first and the points in brackets. The detail reads (example at 1 point = 0.01 €): When the customer is only earning on this sale, the heading stays the same and the lines read Credit: €8.50 (850 points) and For this purchase: +€0.08 (8 points).
The ceiling is their whole balance, not the bill. The till lets staff enter anything up to the customer’s full point balance. If that is worth more than the bill, the rest simply stays on the card.
1

Ask the customer

How much of their credit do they want to use?
2

Enter the amount

Type it in the field (up to their balance).
3

Confirm

The amount comes off the bill, the customer pays the rest.
The customer does not have to use all their credit at once, they can save it.

Product Rewards

VEXiON offers the eligible products when the customer has enough points, the cheapest line on the bill first, with a toggle for each to apply or skip it. It redeems as many products as the points allow. The discount percent applies to the whole line price, so a line of two of the same product is discounted for both units. Set Discount above 0 on every redeemable product: a product with Redeem above 0 and Discount 0 is offered as “0% off” and still costs the points.
No amount field here. Unlike Credit Cashback, a product reward is all-or-nothing: the points for that product are fixed, so the till gives staff a toggle rather than a box to type into. On the receipt it prints Free with points or Discount with points (50%).

A cashback amount field in the Customer benefits dialog

Discount cards

The discount applies automatically, staff do nothing. The line reads Loyalty Discount - Silver (10%), with the detail: On the printed receipt the customer sees Loyalty discount (10%) on the line, plus a summary with Tier: Silver (10% discount), Saved: 12.50 EUR, and either 100.00 EUR until Gold (15%) or You have the highest tier!. The total spend is shown on the till screen, not on the receipt.
If this sale pushes the customer up a tier, the receipt adds Tier upgraded! Next time: Gold (15%). The new rate applies from their next visit, not this one.
The discount applies only to items that have Loyalty enabled. Telling the customer how close they are to the next tier is a nice nudge to buy more.
The Complete payment dialog with the original price of 269 Kc reduced to 215,20 Kc, a tile showing one benefit applied, and a line reading Tier Gold, Discount 20 percent, Spent 890.30 CZK.

Gift cards

Paying with a gift card. Scan the card, and at payment the line is headed Spending with Select amount to use, showing:
On the bill the gift card shows up as Prepaid Credit. Storyous names the payment method itself, in English, whatever language the till runs in, and the paid bill lists it alongside the cash or card part. Nothing to change, it is simply what to look for when reconciling.
Enter the amount to use and confirm. If the balance is not enough, the customer covers the rest in cash or card. On the receipt the customer gets Previous balance, Used, and Remaining balance, each with the amount.
Gift cards and cashback cap differently. A gift card can never pay more than the bill, so its maximum is the balance or the bill total, whichever is lower. Loyalty-point cashback has no such limit: staff can enter the customer’s whole balance and any surplus stays on the card. If a gift card cannot cover the bill, the customer pays the rest in cash or by card.
An expired card shows Card expired followed by the expiry date, and cannot be used at the till. A card still in date shows Expires with that date. The expiry date is set when the card is issued. VEXiON has no function that extends it afterwards. VEXiON does not delete the remaining balance, but it cannot be spent at the till once the card has expired. Do not top up an expired card: the till still accepts the top-up and adds the credit, but the card stays expired and the credit cannot be used.
Scanning alone does not spend the card. The amount opens at 0. Tap Click for more details, set the amount (the MAX button fills in everything the bill allows), then press Confirm changes. If you skip this and take payment, the customer pays in full and nothing comes off their balance. Topping up is different: it fills in the minimum for you straight away. When the card covers the whole bill and nothing is left to pay, the till still opens the cash screen showing 0. Press Confirm payment there, otherwise the bill never closes and the balance is not deducted.
Topping up an existing card. There is no “top up” button to press: the till works out what you mean from the basket.
You cannot top up a card that still has credit. The till only offers the scan control once there are items on the bill, and with items on the bill a card with credit always pays rather than tops up. In practice, only an empty card can be topped up.
In top-up mode the amount is added to the bill, because the customer is buying credit: a 269 Kč basket becomes 279 Kč when 10 is loaded. The till shows Max top-up and the allowed range, which comes from the Prepaid Value Range you set in the integration settings. Enter the amount, confirm, and the customer pays the basket plus the credit. The line is headed Gift Card Top-Up and shows Current balance, Max top-up and Enter amount with the allowed range. Storyous adds its own Balance after transaction under the toggle. The receipt records Added: 50.00 EUR (or Added: 50.00 EUR + 5.00 EUR bonus when a bonus applies) and the New balance.

Selling a new gift card. The customer orders on your VEXiON gift-card page, chooses to pay in store, and arrives with the order QR code. Scan it at the till and their order comes back on the payment screen:
New Gift Card · From: (buyer) · To: (recipient) · Phone: (recipient’s number) · Requested amount: (amount)
From is the buyer. To and Phone appear only when they exist. For an online order the buyer chooses the recipient after paying, so they are usually missing. The amount and the bonus are the ones the buyer saw on the gift-card page. You cannot change them. Check the amount, confirm and take payment. The buyer pays the base amount, the bonus is free. After payment the buyer gets a confirmation email and the card goes to the buyer or the recipient they choose. Some cards are sold with the older in-store form. For those the till asks you to enter the card value, within the Prepaid Value Range from the integration settings. The bonus then follows the percentage in the integration settings.

The buyer's order shown on the payment screen

The buyer pays only the base amount, the recipient gets the full value including any bonus.
An order code is good for about a day. It represents the buyer’s submitted form, and it expires 25 hours after they fill it in. If they come in later than that, the till shows “Gift card code expired, the customer creates a new one”, and there is nothing to scan. Ask them to order again, then scan the fresh code. A code that no longer exists shows “Invalid gift card code”.The till can also refuse a code for these reasons:
The Complete payment dialog after a gift card is applied: the original price struck through and reduced to zero, with the current balance, the amount spent, the new balance and the expiry date.

Paying with a gift card: the balance covers the bill in full

Good to know: the Activity list on the customer’s detail page can show Gift card spend refused. It means the till tried to pay with the gift card and VEXiON refused it, for example because the balance was too low. No money moved, so check the bill on the till. A row Cancellation could not be applied means VEXiON could not reverse a cancelled bill automatically. If you see it, contact VEXiON support.

Employee cards

An employee card behaves like a discount card at the till, with two differences staff will see: If the reset date is not known yet, the shorter Monthly limit reached is shown instead. Either way the card still scans, it just applies no discount until the budget resets.

What lands on the receipt

Loyalty is not only on screen. When a card is used, VEXiON adds lines to the printed bill in two places:
  1. On the product line itself, replacing or annotating the price. A redeemed item prints Free with stamps or Free with points, a partly discounted one prints Discount with stamps (60%) or Discount for 1000 points, and a tier discount prints Loyalty discount (15%) with the original price struck through.
  2. In a summary block after the total, under the STORYOUS heading, giving what was earned or redeemed and the resulting balance.
A stamp sale that redeems two rewards and earns two stamps prints, for example:
Redeemed 200 stamps New stamps balance: 356/10 Loyalty by VEXiON cards
A tiered discount sale prints:
Tier: Gold (15% discount) Saved: 65.55 CZK You have the highest tier! Loyalty by VEXiON cards
And a gift-card top-up prints the previous balance, what was loaded including any bonus, and the new balance. Most receipts with loyalty on them end with:
Loyalty by VEXiON cards
Two cases print without that line: a Product Rewards sale where the customer only collects points and redeems nothing, and the message shown when an employee card has used up its monthly budget. The loyalty lines themselves are printed as normal in both cases; only the closing VEXiON line is missing. A Product Rewards sale that does redeem a product prints the line as usual.
Language. These messages follow the POS’s own language, in Czech, Slovak, or English. If the till runs in any other language, VEXiON falls back to English. Restart the POS app after changing its language, otherwise the till’s own buttons switch straight away while VEXiON’s lines stay in the old language.

Quick reference

Common situations

Without the QR code the card cannot be used for this sale. They can use it next time.
Try again, raise the phone’s screen brightness, and check the internet connection.
Toggle that benefit off in the Customer benefits dialog. The points stay on the card.
An expired gift card cannot be used at the till, and the expiry date cannot be extended. The remaining balance stays on the card but cannot be spent.
VEXiON cards need a connection. Complete the sale normally, the customer uses their card next time.
Tap Scan or type code again and type the code by hand, then press enter on the keyboard. If the till still does not react, raise the phone’s screen brightness and check the internet connection.
You cancel a bill from Bill history in the main menu: pick the receipt, then Cancel bill.
The Bill history list beside a payment detail panel with Print again, Cancel bill, Reopen bill and Bill timeline, and the item list below.

Where to cancel a bill: Bill history, then the payment detail

If the bill carried a loyalty benefit, the till asks what to do with it:
Cancel bill with loyalty benefit: would you like to refund the used benefit (so the customer can use it again) or keep the benefit used?
The Cancel bill with loyalty benefit dialog asking whether to refund the used benefit or keep the benefit used, with a button for each.

The choice the till offers when cancelling a bill that carried loyalty

Refund benefit hands the benefit back. Points and stamps the customer spent on that bill return to their card, points they earned on it are taken off again, and a tier discount is removed from their savings total. Their wallet pass updates on its own.Keep benefit used leaves everything as it was: the customer keeps the stamps or points from that bill.Use Refund benefit when you are voiding a sale that should never have counted, and Keep benefit used as a goodwill gesture when the customer earned something you would rather let them keep.
There is no per-item refund on a paid bill. To take one item off, use Reopen bill in the bill history, which puts the whole bill back on the table so you can edit it and take payment again.Reopening asks the same loyalty question as cancelling, because Storyous treats it as a cancellation: you get the Cancel bill with loyalty benefit dialog with Keep benefit used and Refund benefit.Answer it the same way you would for a cancellation. Because you are about to take payment on the same items again, Refund benefit is almost always the right choice: it clears what the first payment awarded, so the second payment leaves the customer with the correct balance rather than double.
Scan the card again before you take payment. Reopening detaches the customer: when the bill comes back to the table, the payment dialog asks for the card again. If you take payment without scanning it, the first payment’s loyalty is reversed by the reopen and nothing is earned back, so the customer ends up with nothing for that purchase.
